A mandate can involve employees, clients, lawyers, and other outside participants. We configure agreed groups and permissions, review external sharing, and remove access as people or responsibilities change.

We work with the firm’s approved approach to material nonpublic information, or MNPI. The review covers where documents live, who can reach them, and how access decisions are recorded.

Accounts and managed devices

We administer Microsoft 365 accounts and review Entra ID sign-in controls, multifactor authentication, and Intune device settings where these are in use. Our team helps staff with account recovery, email, shared files, and remote working.

Teams, SharePoint, and data rooms

We review Teams and SharePoint membership, guest access, and sharing settings. For a virtual data room, we work within your chosen provider’s features and permissions. The scope can include access groups, user changes, activity records, and closeout arrangements.

Email, chat, and record retention

We map the communications and documents your compliance team identifies to the systems that retain them. The work can include Microsoft Purview retention settings, an existing archive, retrieval checks, and the handling of departing staff accounts.

Applications and connections

We investigate sign-in, installation, Office-version, and connectivity problems affecting licensed applications. For CRM, market-data tools, and Excel add-ins, we coordinate with the software provider when a fault involves its service or permissions.

Review retention separately from everyday sharing.

SEC Rule 17a-4 and FINRA recordkeeping requirements need a defined approach for the records in scope. A shared folder or an ordinary backup does not establish that the firm has met those requirements.

Microsoft’s regulatory guidance describes supported preservation and audit-trail approaches. We review the required services, licenses, configuration, and retrieval process with your compliance team before changes are approved.

Record coverage

Identify email, chat, files, and other approved channels. Confirm what is captured and where a separate archive or provider is involved.

Permissions and information barriers

Review sensitive workspaces and who can share their contents. Where appropriate, assess Microsoft Purview information barriers against the firm’s approved separation requirements.

Retrieval and account changes

Test how authorized staff locate and export the required records. Include leavers, tenant changes, and outstanding preservation requirements in the plan.

Tell us the application, licensed version, and fault. We can assess workstation, Office, identity, and connection issues, then define the work with you and the vendor. Data entitlements and specialist product faults remain with the relevant provider.

Can we use SharePoint instead of a virtual data room?

We compare your sharing, activity-record, download-control, and transaction requirements with the available features. The choice depends on the work and your advisers’ requirements. We do not treat the two products as interchangeable.

Can you support a move between Microsoft 365 tenants?
